Privacy Policy
Last updated: 2026-05-18
Empire Five Athletics ("we", "us", "Empire Five") respects your privacy. This policy explains what personal data we collect when you visit our website or place an order, how we use it, how long we keep it, and the rights you have over it. We comply with the EU General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA) where applicable.
1. Who We Are
Empire Five Athletics is a custom sports apparel manufacturer based at 73A Nizam Abad, Zaffarwall Road, Ahmed Nagar Bonga, Sialkot, Sialkot, Punjab 51310, Pakistan. We are the data controller of any personal data you submit through this website or during the quoting and ordering process.
2. What We Collect
Information you provide
- Name, email address, phone number, WhatsApp number when you fill the quote form or email us
- Company / club / school name, country, sport, rough quantity, and any design files you share
- Roster information (player names, numbers, sizes) when you place an order
- Billing and shipping address, payment information (processed by our payment provider — we do not store card numbers)
Information collected automatically
- IP address, browser type and version, device type, operating system
- Pages viewed, time on page, referring website
- Cookies that maintain session state and basic analytics — see section 6
3. Why We Use It
We use your personal data for the following purposes:
- To respond to your quote request — preparing your mockup and itemized pricing
- To produce and ship your order — including custom decoration with player names / numbers
- To communicate about your order — updates on mockup approval, production status, shipping tracking
- To improve the website — aggregated, non-identifying analytics
- To comply with legal obligations — invoicing, tax records, export documentation
We do not sell your data to third parties for marketing purposes. We do not share roster data (player names, numbers, sizes) with anyone outside our production facility.
4. Legal Basis (GDPR)
For visitors in the European Union, we rely on the following legal bases:
- Contract performance — processing your data to deliver the quote and order you've requested
- Legitimate interest — basic website analytics to improve our service
- Legal obligation — retaining invoices and shipping records for tax and customs purposes
- Consent — only where you've explicitly opted in (e.g. newsletter, if offered)
5. Third Parties
We share data only with the third parties necessary to operate our business:
- Shipping carriers (DHL, FedEx, equivalent) — recipient name, address, contact phone for delivery
- Payment processors — payment data passes directly to the processor; we do not store full card details
- Email hosting provider — our business email correspondence is stored on a standard email host
- Customs authorities — export and import paperwork as required by destination country regulations
All third parties are contractually required to handle your data only for the agreed purpose.
6. Cookies
This website uses minimal cookies:
- Session cookies — required for the site to function (e.g. remembering your form input across page loads). Deleted when you close the browser.
- Basic analytics — aggregate visitor counts, page views, referring sources. Does not identify individual users.
We do not use third-party advertising or remarketing cookies. You can disable cookies in your browser settings; the website's quote form and ordering flow will still work.
7. Data Retention
We retain data only as long as necessary:
- Quote inquiries that didn't convert — 12 months, then deleted
- Order records and roster data — 7 years for tax and re-order purposes
- Email correspondence — retained per ongoing business need; can be deleted on request
- Analytics — aggregated form, no individual retention
8. Your Rights
You have the right to:
- Access — request a copy of the personal data we hold about you
- Rectification — correct inaccurate data
- Erasure — ask us to delete your data (subject to legal retention requirements like tax records)
- Portability — request a structured export of your data
- Restriction — ask us to limit how we process your data
- Objection — object to processing based on legitimate interest
- Withdraw consent — for anything we process under consent
California residents have equivalent rights under CCPA, including the right to know what data we collect and the right to opt out of sale (we do not sell data).
To exercise any of these rights, email sales@empirefive.com with the subject line "Privacy Request — [your request type]". We respond within 30 days.
9. Data Security
We use industry-standard measures to protect your data: TLS / HTTPS encryption for the website, password-protected admin access, restricted internal access on a need-to-know basis, and standard email security on the email host. No system is 100% secure, but we take reasonable steps to prevent unauthorized access.
10. International Transfers
Our factory and primary servers are located in Pakistan. By placing an order from another country, you understand that your personal data will be transferred to and processed in Pakistan. We rely on contractual safeguards (with our hosting and email providers) to maintain GDPR-equivalent protection for EU residents.
11. Changes to This Policy
We may update this policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be highlighted on this page; for active customers, we'll notify by email.
